Administrative Assistant (Bilingual)

Position Overview

YPC has been extremely successful, well received and has grown significantly.  The organization has a requirement for a seasoned individual as Administrative Assistant.  This individual will provide administrative and operations support to the YPC office.  This position has an opportunity for managerial growth.

  • Location: Manhattan, NY
  • 5+ years office experience

Responsibilities:

  • Answer telephone calls and take messages for staff members
  • Telecom maintenance – manage voicemail system, data lines and faxes
  • Manage overall logistics with office equipment including Postage meter, photocopying machine, printers, fax/scanner/printer and computer networks
  • Retrieve, sort and distribute institutional mail
  • Assist in executing frequent mailer campaigns and track responses
  • Vendor relations for supply purchases
  • Invoice for chorister tuition and process scholarship applications
  • Maintain contact database for choristers board members and donors
  • Schedule & confirm meeting dates and attendees
  • Manage merchandising inventory, volunteer salespeople and track sales
  • Available to assist staff with all self produced events
  • Communications person to staff, board members, donors and choristers including memos, emails and informative mailings
  • Prepare presentation materials and transpose meeting minutes
  • Maintain safe, secure and legal work environment

Qualifications/Requirements:

  • Bilingual in English and Spanish, able to translate documents
  • Refined telephone / communication skills and professional demeanor
  • Excellent interpersonal skills and attention to detail required
  • Strong writing skills
  • Strong Microsoft Excel skills
  • Familiar with Microsoft Access
  • A self-starter with minimal supervision
  • Exceptional organizational skills
  • Seasoned time management skills ~ ability to work well under deadline pressure and be able to juggle many projects simultaneously
  • Strong computer skills: Microsoft Suite Word, Outlook, Excel, Access, PowerPoint & internet savvy a must
