POSITION OVERVIEW

Reporting to the President / Artistic Director, the Managing Director/COO (MD) will be pivotal in leading YPC’s strategic course. This role entails overseeing the organization’s administrative and business functions – including Board Relations, Development, HR, Finance, and Marketing – and providing solid support for the Artistic Director’s vision, which revolves around developing, producing, and presenting programming to advance the mission, diversify audiences, and set new benchmarks for artistic innovation and excellence. The MD will also collaborate with the Artistic Director on production and artist agreements and will be instrumental in attracting and retaining administrative staff while managing human and financial resources to bolster YPC’s mission.

POSITION RESPONSIBILITIES

  • Uphold YPC’s historical and current identity, while also, charting a path for the organization to evolve as a bold catalyst for change within its field and into the future.
  • Support the Artistic Director in steering the organization’s strategic vision and forging effective relationships to ensure that artistic and financial decisions remain aligned with the mission.
  • Play an active role on the Executive Committee, ardently guiding YPC toward the future by carving pathways for new programs, partnerships, and revenue streams.
  • Refresh the YPC multi-year strategic plan, setting clear objectives for how the organization intends to grow and prioritize resources.
  • As liaison to the Board, onboard new members, formalize expectations, and hold board members accountable for meeting their commitments.
  • Lead open and transparent dialogue with staff and board members to ignite organizational growth across all facets of the business.
  • Lead the Executive Business Team (and direct reports), handle day-to-day business activities, and also, support the creative team to develop robust career pathing and succession planning frameworks.
  • Lead HR operations (including all recruiting activities), and work with IT operations team and other administrative functions (facilities, bookkeeping).
  • Streamline the organization’s functions to ensure seamless and effective collaboration across all departments.
  • Exercise strong fiscal acumen, including budget management, financial forecasting, and additional financial analysis.
  • Collaborate with the Director of Finance to assess the budget, offer recommendations, and report on critical financial matters related to general operations to the board.
  • Work with the Director of Development to solicit, cultivate, and steward relationships with foundations, government agencies, elected officials, corporations, and individuals.
  • As a key YPC spokesperson, elevate the organization’s brand and reputation by nurturing relationships and engagement with diverse constituents, including corporate entities, educational institutions, elected city officials, and the media. Manage the Communications team and PR/Marketing vendors.

REQUIRED EDUCATION EXPERIENCE

  • Bachelor’s degree, master’s welcomed.
  • Non-profit work experience.
  • Thorough understanding of strategic planning, financial management, systems, and HR; broad experience with the full range of business functions and systems.
  • Experience leading and motivating high performing teams through change.

Position | Full Charge Bookkeeper

POSITION OVERVIEW

The Bookkeeper supports the entire office and the operations and artistic teams. The Bookkeeper has extensive knowledge and experience with Non-Profit General Ledger accounting and works closely with the organization’s Director of Finance to administer the organization’s finances. They are an articulate, well-organized, motivated self-starter with exceptional attention to detail, organizational skills, and fluency in QuickBooks.

POSITION RESPONSIBILITIES

Accounting Function:

  • Works with the Director of Finance to ensure proper accounting codes and classes for all expenses and revenue.
  • Coordinates with the Development team to ensure timely contributions and pledges are received and entered in QuickBooks.
  • Assists with monthly bank and investment account reconciliations.
  • Provides account analysis as requested by the Director of Finance.
  • Provide support during the audit process.
  • Payroll experience is a plus.
  • Understanding of budgets is also a plus.
  • Helps maintain customer and vendor databases in QB.

Accounts Payable:

  • Properly codes and enters all credit card transactions each month. Most of our purchases are made through our several corporate credit card accounts.
  • Gathers receipts and expense information from card users and reconciles payments to monthly credit card statements.
  • Enters ACH payments for all bills as they appear on online bank activity.
  • Assists with and oversees all other AP, monthly bills, and other expenses.

Accounts Receivable:

  • Processes incoming payments from Stripe and Active for donations, tuition, tours, etc.
  • Review bank activity daily to report and record all incoming wires and ACHs from donors or other venues or organizations.
  • Coordinates with Development to ensure all pledges and payments are entered into QB and the information is communicated with Development timely.
  • Prepare a weekly summary of inbound ACH and wires received.
  • Prepares GALA receivable reports and records and maintains all Gala-related revenue, including cash-call events.
  • Handles revenue processing and analysis related to tuition, tours, and donations (revenue from self-produced concert merchandise) throughout the year.
  • Assists with reconciling the donor database to the QuickBooks donor database.
